At NextplAi Ltd, we take the handling of video submissions extremely seriously. This statement explains how we collect, use, store, and delete videos submitted by children as part of NextplAi Coach services.


1. Purpose of Video Collection

  • Videos are collected solely for the purpose of providing coaching feedback and supporting the child’s football development.

  • We do not use videos for any other purpose, unless explicit parental consent is given.


2. Who Can Access Videos

  • Videos are only viewed by:

    • The assigned coach responsible for feedback

    • NextplAi administrators facilitating delivery

  • No other parties have access. Videos are never shared publicly or with third parties.


3. Video Retention

  • Videos and associated feedback correspondence are permanently deleted within 14 days of the feedback being delivered.

  • This ensures GDPR compliance and minimizes data storage risk.


4. Storage & Security

  • Videos are stored in secure, access-controlled systems.

  • Only authorised staff have access to view, handle, and process videos.

  • No personal information beyond the video itself and essential identifiers (e.g., first name, age group) is linked unnecessarily.


5. Parental / Guardian Responsibility

  • Parents and guardians remain fully responsible for supervising their child during all training activities.

  • Parents confirm they consent to video submission and understand how videos will be handled.

  • Parents may withdraw consent at any time by contacting NextplAi Ltd.


6. Sharing & Marketing

  • Videos are never used for marketing, promotion, or training purposes outside the service, unless explicit consent is obtained from the parent or guardian.

  • No images or videos are posted on social media, YouTube, or shared with other users.


7. Compliance with GDPR

  • NextplAi Coach processes videos in accordance with the UK GDPR and Data Protection Act 2018.

  • Only the minimum data necessary for service delivery is stored, and all data is deleted after the retention period.

Safeguarding

At NextplAi Ltd, safeguarding children is our highest priority. NextplAi Coach provides online-only football coaching advice and guidance for children, and we are committed to ensuring that all children who participate in our services are safe, respected, and supported.


1. Scope

This Safeguarding Statement applies to all NextplAi Coach services, including:

  • Video analysis and feedback

  • Home training support

  • Position-specific guidance

  • Physical preparation and recovery advice

  • Parent & guardian support

  • Coach’s Choice services

All services are online and advisory. No in-person coaching, supervision, or live training sessions are provided.


2. Responsibility

  • Parents and guardians remain fully responsible for supervising all training activities and ensuring a safe environment.

  • NextplAi coaches and administrators provide feedback and guidance only, and are not responsible for physical supervision or safety during training.

  • All decisions about applying guidance, exercises, or skill development rest with the parent or supervising adult.


3. Staff Standards and Checks

  • All members of our coaching and administrative team undergo appropriate safeguarding training.

  • Coaches who provide feedback have relevant DBS (Disclosure and Barring Service) checks or equivalent screening.

  • Staff are trained to handle all video content and communications securely and appropriately.


4. Video Handling

NextplAi Coach handles videos with strict care:

  • Videos are viewed only by the assigned coach and NextplAi administrators responsible for delivery.

  • Videos are never shared publicly, with third parties, or used for marketing without explicit consent.

  • Videos and associated correspondence are permanently deleted no later than 14 days after feedback delivery.

  • All feedback emails and attachments are confidential and intended solely for the user and supervising adult.

  • Maintaining transparency about how videos and personal data are used


7. Parent Guidance

  • Always supervise your child during training activities.

  • Ensure the environment, equipment, and exercises are safe and age-appropriate.

  • Use the guidance provided responsibly and according to your child’s ability.

 


8. Policy Review

This statement will be reviewed and updated at least once per year or whenever there is a change in law, guidance, or NextplAi services.
